Kootenay Carshare Cooperative has been awarded funds to do a deep dive into our operations and set us up for the future. We are looking for a highly skilled business analyst that can answer some key questions about how we function and develop a strategic plan for the next 5 years. The candidate will organize and host three in-person engagement session in Nelson, Kalso and Revelstoke as well as reaching out to communities across the Kootenays. 

Job Description:

The Executive Director is responsible for the professional leadership and the management of operations for the Kootenay Carshare Cooperative (KCC).  Working in concert with the board, employees, and members the Executive Director will move the KCC forward in the development and implementation of internal and external goals that reflect the organization’s mission, beliefs and daily operation needs.  This position will also oversee the management and development of the newly forged Air Carshare Program.

The Executive Director is responsible to the KCC Board of Directors. 

 

Responsibilities

Supporting the Board of Directors:

  1. Attends all Board of Directors meetings and some sub-committee meetings at the request of the Board. 
  2. Provides operational & financial reports to the Board monthly with budget comparison at least 3 times per year.
  3. Assists with research for policies and long range planning.
  4. Consults with the Board on all new policies and changes to existing policies.
  5. Participates in establishing goals, short, medium and long term for the co-op.
  6. Develops strategic planning session
  7. Applies for grants that future innovate or support the Coop’s goals

Supporting Members:

  1. Follows-up on delinquent situations: either financial or disregard for our procedures and decides on penalties based on policies in place or recommends alternative actions to the Board.
  2. Manages and pays out member loans

Supporting Staff:

  1. Developes contracts and posts jobs to ensure all positions are filled
  2. Performed yearly staff evaluations and probation reviews
  3. Provides training of all new staff
  4. Facilitates a monthly board meeting to create cohesion, introduce new procedures and address any concerns
  5. Provides directions to the work of the Operations Manager.
  6. Maintains hours records for all staff and volunteers ensures approval of anytime which exceeds agreed monthly agreement.
  7. Pays all payroll and contract staff in a timely manner

Supporting the public:

  1. Be a spokesperson for the Co-op as requested by the Board.
  2. Foster relationships with other cooperative and opportunities for cross promotion
  3. Seek out public events that support the aims of our Co-op.

Supporting the technical aspects of the operation.

  1. Manage contracts with web developers and oversee major upgrades to websites when appropriate

Supporting good business practices:

  1. Ensure banking authorizations are up to date and open bank accounts as required.
  2. Files records for government agencies, BC Registry, PST, GST, & Income Tax.
  3. Maintain general office records of organisation.
  4. Maintains records for statistical analysis.
  5. Prepares annual draft budget for Board and member approval.
  6. Monitor financial stability of Co-op.
  7. Reports to funders

Air Carshare Position Description

Working in concert with employees and members, the Air Carshare Program Manager will supervise the development and growth of the Air Carshare Program. 

The Air Carshare Program Manager reports to the Executive Director or, if the two positions are amalgamated, the Board of Directors.

Responsibilities to the Executive Director:

  1. Develop a three-month plan to present to the Executive Director involving how hours will be spent, how subordinates will be supervised. A work plan including timelines, targets and budgets will be provided for themselves and their subordinates.
  2. Attend bi-weekly meetings with the Executive Director providing monthly financial updates and target progress.
  3. Consult with the Executive Director on new policies that may need to be developed for the Air Carshare program.
  4. Participates in establishing goals, short, medium and long term for the co-op.

Supporting Air Carshare Program Coordinators:

  1. Supervise the work of Program Coordinators.
  2. Support the development of a work plan for Program Coordinators. 
  3. Ensure working conditions are safe and free from harassment.
  4. Support the development goals of the Program Coordinators. 

Development of the Air Carshare Program:

  1. Enter new vehicles into the online booking calendar.
  2. Identify points of tension in the new system and collaborate to develop creative solutions.
  3. Put together and send out Welcome Packages to vehicle owners.
  4. Support vehicle owners through the application process.
  5. Identify opportunities for partnerships with local business, government and organisations.
  6. Fulfil the goals outlined in funding proposals.

Supporting the public:

  1. Be a spokesperson for the Co-op as requested by the Executive Director.
  2. Provide news releases to the media.
  3. Participate in public events that support the aims of the Air Carshare Program.

Supporting good business practices when applicable:

  1. Ensuring all bills are paid on time and proper receipts, warranties and other documentation are obtained and recorded.
  2. Ensure deposits are made in an orderly fashion.
  3. Maintains records for statistical analysis.
  4. Monitor financial stability of the Air Carshare Program.
